Double-booking a technician rarely happens because someone wasn't paying attention — it happens because nobody could see the whole crew's day in one place at the moment the second job got booked in. Here are five habits that fix that, whether you're running a shared calendar, a whiteboard, or dedicated dispatch software.
1. Keep one single source of truth for the schedule
The moment a booking exists in two places — a phone note and a calendar, or a calendar and a whiteboard — one of them will drift out of date, and it's usually the one someone checks right before double-booking a slot. Whatever you use, make it the only place bookings get written down.
2. Make the whole crew's day visible at once, not just one technician's
A schedule that only shows one technician at a time forces whoever's booking a job to check each person individually — the exact conditions under which a clash slips through. A board with one row per technician and one column per hour, viewable for the whole crew at once, turns a double-booking from an easy mistake into an obvious one.
3. Build in a buffer for travel time between jobs
Two jobs that don't technically overlap on the clock can still be an impossible schedule if they're 40 minutes apart by road. Padding real travel time between bookings — not just back-to-back job durations — is one of the more overlooked causes of a technician running late all day.
4. Reschedule by moving the booking, not recreating it
Rebuilding a booking from scratch every time a job needs to shift creates room for details — the technician, the duration, any notes — to get lost or entered differently the second time. Moving the existing booking preserves everything attached to it.
5. Let the system catch conflicts you'd miss by eye
Once you're juggling more than a couple of technicians, spotting an overlap by eye in a busy week view gets genuinely hard. This is the one habit that's much easier with dedicated software than a whiteboard.
How SJMS's Dispatch Board helps with all five
The Dispatch Board is built around exactly this: one row per technician, one column per hour, across Day, Week and Month views, with conflict detection that flags an overlap before you book it — not after a customer calls asking where their technician is. Jobs drag straight onto a technician's row to book or reschedule, so moving a job is a drag, not a rebuild. See Dispatch a job from the Dispatch Board for the walkthrough — and once the job's done, invoicing and online payments pick up right where dispatch leaves off.
